AI process automation for SMBs

Less copy and paste. More work that matters.

We connect your tools, put AI agents to work reading emails and documents, and measure the hours you win back. We start with one process, at a fixed price.

30 minutes, no obligation. We tell you what to automate first and what it would cost.

Example: supplier invoices n8n · OCR · AI · ERP
  1. An email arrives with a PDF invoice In the invoices inbox, at any hour

  2. An AI agent reads the document Supplier, tax ID, date, net, tax and total

  3. It is checked and recorded in your ERP Totals and duplicates checked against your data

  4. A person reviews only the uncertain ones The rest is ready to pay

A typical workflow. Each project is designed around your process.

01The problem

Your team’s time goes on tasks that need nobody

Almost every company has a handful of processes done the same way every day. Those are the first ones worth automating.

  • Today: Copying data from emails and PDFs into another program Automated: Data arrives on its own, checked, in the right system
  • Today: Leads waiting hours for a reply Automated: Every lead gets a reply and a follow-up within minutes
  • Today: The weekly report built by hand Automated: A dashboard that updates itself and a summary every Monday
  • Today: The same customer questions, over and over Automated: An assistant answers the simple ones and hands you the rest
  • Today: Tools that don’t talk to each other Automated: One workflow joining CRM, ERP, email and spreadsheets

03What we automate

Real processes, specific tasks

A few examples of the kind of project we do.

  • Supplier invoices

    Today
Invoices arrive by email and someone enters them one by one into the accounting software.
    Automated
They are read on arrival, recorded as drafts with the PDF attached, and only uncertain ones ask for review.
    • Gmail
    • OCR
    • OpenAI
    • QuickBooks
  • Website leads, instantly

    Today
Forms land in an inbox and get copied into the CRM when someone has a minute.
    Automated
Each form creates the contact, routes it by region and sends the first reply within minutes.
    • Web forms
    • HubSpot
    • Make
  • Support ticket triage

    Today
Tickets land in a shared queue and get handed out manually every morning.
    Automated
Each ticket arrives tagged by topic and urgency, assigned to its team, with a draft reply.

04Estimator

How much time goes on repetitive tasks?

Run the numbers with your own figures. It is an estimate from your inputs, nothing more.

Your numbers
Salary plus employer costs, roughly.
Hours a year on those tasks
828h/year
Hours you could win back
414h/year
Value of that time
12,420/year

A rough estimate from your inputs only: people × hours a week × 46 working weeks × the share you chose. It is not a promise of savings; real savings are measured on each project.

05How we work

A simple method, no surprises

First we understand the process, then we set a fixed price, build, and measure whether it was worth it.

  1. Audit

Thirty minutes on one specific process. Free, no obligation.

  2. Proposal

Fixed scope, timeline and price, in writing, before we start.

  3. Build

We build in your accounts, on real data, in short iterations.

  4. Measure

We compare before and after against the agreed metric.

  5. Support

Monitoring, fixes and improvements, only if you need them.

06Why Hackio

What you can expect from us

  • A fixed-price proposal

Before we start you know what will be built, how long it takes and what it costs. No surprise hours.

  • You own everything we build

Workflows, code and accounts in your company’s name, documented so you never depend on us.

  • No lock-in

Fixed-scope projects and optional monthly support you can cancel with one month’s notice.

  • We start small and measure

One process and one metric. If it works, we continue; if not, you find out early, having spent little.

  • Standard tools first

n8n, Make, Zapier and your software’s APIs before inventing anything. Custom code only when it pays off.

  • Careful with your data

Only the data needed, providers under data processing agreements, and human review for anything sensitive.

07Questions

Frequently asked questions

What does the free audit involve?

A 30-minute conversation about one specific process in your business. Beforehand you tell us how it works today; afterwards we send you, in writing, what we would automate first, with which tools, and an estimate of cost and timeline. No obligation.

How much does an automation project cost?

It depends on the process, the tools and the volume. That is why we don’t publish generic rates: after the audit we send a fixed-price proposal with the scope in writing. If the scope changes, we talk before going further.

How long until it’s running?

A first, well-scoped automation is usually live within a few weeks. Projects with several integrations or a lot of data take longer; the exact timeline is in the proposal.

Do I need to change my tools?

Usually not. We work with what you already use: your email, CRM, ERP and spreadsheets. We only suggest a change when the current tool blocks automation, and we explain why.

What happens to my data?

We process only the data the project needs, with providers that sign a data processing agreement and, where possible, host in the European Union. If data must stay on your own infrastructure, we plan it that way.
